    How it works

    Methodology & formulas

This calculator is transparent by design. Review the steps and formulas so you can trust the estimate and adjust assumptions when your dashboard differs.

    Calculation steps

    1. 1Base = estimatedHours × desiredHourlyRate.
    2. 2Subtotal = base + projectExpenses.
    3. 3Scope buffer = subtotal × bufferPercent/100.
    4. 4Recommended bid = subtotal + buffer.
    5. 5Upwork fee = tiered(clientLifetimeEarnings, clientLifetimeEarnings + bid).
    6. 6Net take-home = bid − fee.
    7. 7Effective hourly = (net − projectExpenses) ÷ estimatedHours when hours >0.

    Formulas

    • Base = hours × desiredRate
    • Subtotal = base + expenses
    • Buffer = subtotal × buffer%
    • Bid = subtotal + buffer
    • Fee = tiered(lifetime, lifetime+bid)
    • Net = bid − fee
    • EffectiveHourly = (net − expenses) ÷ hours

    Important assumptions

    • Base project value equals estimated hours times desired hourly rate.
    • Subtotal equals base plus direct project expenses.
    • Scope buffer equals subtotal times buffer percent, covering revisions and risk.
    • Recommended bid equals subtotal plus buffer.
    • Upwork fee calculated on recommended bid using lifetime to date tier split.
    • Effective hourly equals (net take-home minus project expenses) divided by estimated hours.

    Worked example

    40 hour website build

40 hours, desired $50 per hour, $100 expenses, 15% buffer, new client lifetime 0.

Base $2,000, expenses $100 subtotal $2,100, buffer $315, recommended bid $2,415. Fee at 0 lifetime: $500 at 20% $100 + $1,915 at 10% $191.50 = $291.50 fee, net take-home $2,123.50, effective hourly after subtracting $100 expenses = ($2,123.50−$100)÷40 = $50.59 per hour. You desired $50 per hour before fee, you actually keep $50.59 after fee but minus expenses already accounted separately? Double-check: base was desired before fee, so net hourly after fee should be near $44 after fee without buffer; buffer lifts to $50. With $10k+ lifetime same bid fee $120.75 net $2,294.25 effective $54.86 per hour.
