Amazon Return and Refund Impact Calculator

Amazon returns cost more than refunded sale price: FBA return processing fee $2-5, return shipping label you pay, disposal if unsellable, and referral fee not fully refunded. Enter sale price, product and fulfillment costs, referral percent, return rate, admin fee, return shipping, disposal cost, percent restockable, restocked recovery percent, and order batch to see profit without returns versus profit with returns, per-unit return cost spread, and breakeven return rate where profit hits zero.

    How it works

    Methodology & formulas

This calculator is transparent by design. Review the steps and formulas so you can trust the estimate and adjust assumptions when your dashboard differs.

    Calculation steps

    1. 1RevenueGross = salePrice × quantity.
    2. 2ReferralOriginal = salePrice × referral%.
    3. 3CostPerUnitOriginal = product + fulfillment + referralOriginal.
    4. 4ProfitWithoutReturns = revenueGross − costPerUnitOriginal × quantity.
    5. 5ReturnCount = quantity × returnRate.
    6. 6Restocked = returnCount × restockable%.
    7. 7Scrapped = returnCount − restocked.
    8. 8RestockedSalePrice = salePrice × restockedSale%.
    9. 9Revenue from restocked resale = restocked × restockedSalePrice minus second referral on restocked sale.
    10. 10ReturnCost components per return: adminFee + returnShipping + disposal for scrapped portion + product replacement cost for scrapped (product+fulfillment) plus lost margin on restocked discount.
    11. 11TotalReturnCost = returnCount×(admin+shipping) + scrapped×(product+fulfillment+disposal) + restocked×(salePrice−restockedSalePrice+restocked referral loss? Actually modeled as discount loss) adjusted.
    12. 12ProfitWithReturns = profitWithout + restocked resale profit − totalReturnCostHandling.
    13. 13ReturnCostPerUnitSold = totalReturnCost / quantity.
    14. 14BreakevenReturnRate derived by profitWithoutReturns / (average loss per percent point).

    Formulas

    • ReturnCount = qty × returnRate%
    • Restocked = returnCount × restockable%
    • Scrapped = returnCount - restocked
    • LossPerScrapped = product+fulfillment+admin+shipping+disposal - second sale none
    • LossPerRestocked = admin+shipping + (salePrice - restockedPrice) + referral diff
    • TotalReturnCost = scrapped×lossScrapped + restocked×lossRestocked
    • ProfitWithReturns = profitWithout − totalReturnCost + restockedResaleProfit
    • ReturnCostPerUnit = totalReturnCost ÷ qty

    Important assumptions

    • Total gross revenue = salePrice × quantity.
    • Referral fee = salePrice × referralFeePercent per unit on original sale; on restocked resale referral applies again at restocked price.
    • Profit without returns = revenue − (product+fulfillment)×quantity − referral on original sales.
    • Return count = quantity × returnRate%.
    • Restocked units = returnCount × restockable%, scrapped = returnCount − restocked.
    • For each return: lose product+fulfillment if scrapped, pay refundAdminFee + returnShipping + disposal if scrapped, lose portion of price not recovered on restock (salePrice − restockedPrice) plus extra referral on resale and admin+shipping already paid.
    • Simplified model: return cost = adminFee + returnShipping + (1 - restockable%×restockedSale%) effective product value loss + disposal for scrapped + referral not refunded assumption.
    • This calculator assumes Amazon refunds buyer but seller loses fulfillment and pays return costs; referral fee on original sale often refunded minus some categories but we keep conservative model where referral loss small.
    • Breakeven return rate found by solving profitWithReturns = 0 approximating per-return loss average.

    Worked example

$24.99 product with 5% return rate

    $24.99 price, product $8, fulfillment $4.50, referral 15%, return rate 5% of 100 units, admin $0, return shipping $3.50, disposal $0.50, restockable 70%, restocked sale 80% price.

Gross revenue $2499, referral per unit $3.75, cost per unit $16.25, profit without returns $8.74×100=$874. Returns 5 units, 3.5 restockable 1.5 scrapped. Scrapped loss: product $8+fulfillment $4.5+shipping $3.50+disposal $0.50 = $16.50 each ~$24.75. Restocked: shipping $3.50 each + admin 0 + discount loss $24.99-19.99=$5 plus extra referral on resale ~$3. So ~$8.50 each ~$29.75. Total return cost ~$54.50. Restocked resale revenue 3.5×19.99=$69.97 profit after second costs maybe $30. Net profit with returns ~ $874 - $54.5 + restocked profit $~15 = ~$835. Return cost ~$0.55 per unit sold. Margin ~33% after returns vs 35% before. Breakeven return ~22%.
