You pay the label, the mailer, the tape, and sometimes a signature or insurance add-on. When part of your shop ships free, you collect nothing for shipping and still buy the postage. Item profit absorbs the gap, then the month looks worse than the listing price suggested.

    The short answer is this. An Etsy shipping price covers itself only when it matches your full shipping cost on paid orders, and when you model the real share of orders that ship free. Full shipping cost is postage plus packaging plus insurance, signature, or other shipping charges.     Paid-shipping profit or loss = shipping charged to the buyer − total shipping cost.

    Shipping margin = profit or loss ÷ charged amount, when charged is greater than zero.

    Free-shipping order cost = the full total shipping cost, because the buyer pays $0 for shipping.

    Blended result per order = (paid profit or loss × share of paid orders) − (total shipping cost × share of free-shipping orders).

    Net per 100 orders = blended result × 100.

    The free-shipping threshold field is a reminder, not a formula. You still type the actual percent of orders that shipped free from your shop data. A single postage number that mixes domestic and international zones will hide losses on the expensive lanes. Mixed carriers need a manual average from recent labels, because the model assumes one cost stack per run.

    • Paid-order shipping result: −$1.01
    • Share of orders with free shipping: 20% (for example through a $35 threshold)
    • Blended result: about −$2.01 per order, or about −$201 across 100 orders

    Paid orders lose $1.01 because the buyer pays $4.99 and you spend $6.00. Free orders lose the full $6.00. At 80% paid and 20% free, the blend is (0.80 × −$1.01) + (0.20 × −$6.00) = −$0.81 − $1.20 = −$2.01 per order. Raising the charged amount to $6.00 would zero out paid-order shipping. It would not zero out the free-shipping slice. That is why a profile that “covers postage” on the listings that still charge shipping can still drain cash once a fifth of orders ride free.

    Fees sit on top of that result. Etsy’s Fees & Payments Policy, checked September 23, 2026, charges a 6.5% transaction fee on the listing price plus the shipping amount you charge the buyer, and gift wrapping. Payment processing is assessed on the total sale, including shipping and applicable tax. Etsy’s published processing table on that date lists 3% + $0.25 USD per order for United States Etsy Payments. Canada is 3% + $0.25 CAD for domestic or US orders, and 4% + $0.25 CAD for other international orders, plus a 0.50% Regulatory Operating fee on item price plus shipping. On $4.99 of charged shipping, 6.5% is about $0.32 of transaction fee before processing. If shipping is free, that shipping-fee slice is $0, and you still pay the $6.00 cost.     Build a shipping profile from real costs

    A profile is only as accurate as the last labels you bought. Use this Shop Manager workflow, dated September 23, 2026. Screens, carriers, and eligibility vary by country, account, category, and date.

    1. Pull recent label history. Enter the price you actually paid, not the retail counter quote. Etsy Help says USPS labels purchased on Etsy may include discounted volume rates. Etsy does not publish one universal discount percentage. Canada-based sellers who buy Canada Post labels through Etsy receive Level 4 Canada Post Solutions for Small Business rates. Check the live Help article before you buy, because carrier availability can change.
    2. Weigh and measure the packed parcel, not the product alone. Calculated shipping uses origin, buyer location, and packaged size and weight. Tight or outdated dimensions can push an order into a more expensive mail class.
    3. Cost the mailer or box, wrap, tape, and inserts per order. A carrier rate does not include your packaging. Etsy Help notes you may fold package or handling fees into the listing price.
    4. Add insurance, signature, or other extras only when you buy them. If you skip them, leave the field at zero.
    5. From the last 30 to 90 days, count average items per order and the percent of orders that shipped free. Guessing 0% free while a $35 guarantee is on will understate cost.
    6. Choose calculated or fixed shipping. Calculated shipping is available to sellers in the US or Canada who ship with USPS, Global Postal Shipping, or Canada Post (Etsy Help: How to Set Up Calculated Shipping). Buyers can preview cost by ZIP or postal code or country. Etsy defaults to the least expensive eligible method. Fixed shipping is the path for letter mail, freight, oversized items, unsupported carriers, or when you need One item and Additional item rates. Path: Shop Manager → Settings → Shipping settings → Create or edit profile.
    7. Apply one profile per listing. Editing a profile updates every listing that uses it, so name profiles by weight class and destination, not by a single SKU nickname you will forget.

    Domestic versus international

    Do not average them. Run the calculator twice with different postage, charged amounts, and free-shipping percentages. International labels, duties, and customs time can dwarf a domestic mailer. One blended number will make the US profile look safer than it is, or hide a lane that should be priced higher or turned off.

    Illustrative international contrast, not an official rate. Keep packaging at $0.75. Use $18.40 postage and $12.00 charged, with 0% free shipping on that lane. Total shipping cost is $19.15. Paid-order shipping loss is $7.15. That loss does not belong inside the $4.99 domestic profile. It belongs on an international destination in the same Shop Manager profile, or on a separate profile if your packed weight or service changes.

    Etsy’s US free shipping guarantee (Help: How to Offer Free Shipping) automatically applies free shipping for US buyers on an individual item of $35 USD and up, or a shop order totaling $35 USD and up. It does not automatically change international shipping prices. If you raise the item price to recover domestic postage, Etsy Help shows a method of lowering the international shipping charge by the same domestic amount so international buyers do not pay twice. Sellers outside the US (India is excepted in the current Help article) can set different domestic and global listing prices. Orders shipping into the US may need duties and import fees collected upfront to stay eligible for Purchase Protection. Check the current note in Etsy’s shipping information Help before you promise a landed price.

    Bundles and multi-item orders

    Fixed profiles use two fields: One item and Additional item. Etsy takes the highest One item rate in the order, then adds each Additional item rate. Etsy Help’s own illustration: Item A is $2.00 / $0.50, Item B is $1.00 / $0.75. A plus B ships at $2.75. Three of Item A ship at $3.00. If Additional item is $0 but the second piece needs a larger box, you pay the extra postage and the buyer does not.

    Calculated shipping cannot set discounted additional-item rates. Etsy calculates combined cost from packed weight and dimensions, and may split the order into multiple packages if the items do not fit your package preferences. Mixing calculated listings with fixed listings adds the calculated cost, then the Additional item rates for the fixed listings. The calculator’s items-per-order field is a planning average, not Etsy’s combined-shipping engine. Pack a two-item order once, weigh it, and run that postage as its own scenario.

    Free shipping as a cost, not a ranking promise

    Free shipping is a pricing choice you fund. Model the actual percent of orders that ship free, then decide whether the item margin can absorb that cost. Etsy Help says the simplest way to make free shipping work is to include shipping cost in the item price.
